What Does an NDIS Invoice Need to Include?

Author: Matt Clements

Understanding NDIS invoice requirements can help you track your funding and check that charges are correct. An NDIS invoice must identify the participant, provider and support delivered, including the support item number, claim type and total amount.

If you are plan managed, your provider generally sends the invoice to your plan manager. If you self-manage, you, your plan nominee or child representative handle the payment and claim. Claim time limits also change from 1 December 2026.

What is an NDIS invoice?

An NDIS invoice is a document from a provider requesting payment for a support delivered to an NDIS participant. It records what was provided, when it was provided and how much it costs.

Think of an invoice as a delivery docket. It shows what was delivered, who received it and what is being charged. It also helps track how NDIS funding is used.

What information must an NDIS invoice include?

What identifying information is required?

All provider records about NDIS supports must include:

  • The participant's name
  • The participant's NDIS number
  • The date or dates the support was delivered
  • The amount and quantity or hours of support delivered
  • The type of support provided

What additional information must an invoice include?

An invoice must also include:

  • Provider business name
  • Provider ABN
  • Participant's address, including the postcode for specialist disability accommodation (SDA)
  • Support item number from the NDIS Support Catalogue
  • Claim type
  • Total invoice amount
  • GST component, if applicable
  • Third-party provider ABN for plan managers

An invoice can include several supports, but only for one participant.

For a plan-managed invoice, the provider must include a valid ABN unless exempt. If exempt, they must include a statement by supplier form.

What other details are useful?

Invoice number, issue date, due date, contact details, agreed rate and service agreement reference help with follow-up. They are not the NDIA's minimum requirements. Separate ATO tax-invoice rules may also apply.

What does an NDIS support item number mean?

The support item number identifies the support being claimed. Assistance with daily living should use the relevant item, not a vague label such as "NDIS services".

The NDIS Support Catalogue lists items, descriptions, claim types and maximum prices. The 2026–27 NDIS pricing arrangements set registered provider price limits for NDIA-managed and plan-managed supports. Those limits are not a universal cap for every self-managed arrangement.

The item and claim type should match the service delivered. The price should match your agreement and any pricing rules that apply to how the funding is managed.

Does an NDIS invoice need to include GST?

Many NDIS supports are GST-free, but not all are. GST-free treatment generally needs an active NDIS plan, supports specified in the plan, a written agreement and coverage under the relevant GST determination. If GST applies, show the GST component.

How does an NDIS invoice get paid?

What happens with a plan-managed invoice?

Your provider generally sends the invoice to your plan manager. The plan manager checks it against your plan and funding, obtains required authorisation and submits the claim. Plan managers also keep financial records, pay providers and help resolve disputes.

The NDIA requires plan managers to make sure participants are aware of and approve claims, and to ask for authorisation when managing claims and paying providers. How that works depends on your arrangements. It does not always mean separate pre-approval of every invoice.

Plan managers should pay providers or reimburse participants within two business days of receiving payment from the NDIA, not within two days of receiving the invoice.

What happens with a self-managed invoice?

Your provider sends the invoice to the person managing your self-managed funding: you, your plan nominee or your child representative. After you receive the support, you or they can:

  1. Claim first through the participant portal or app, then use the nominated self-managed account to pay the provider once the NDIA pays into it.
  2. Pay the provider first, keep a receipt and claim reimbursement.

Neither option is compulsory. Keep invoices and receipts. The NDIA recommends keeping spending records for five years. The funding must be paid into an account held by the person managing the self-managed supports.

What happens with an NDIA-managed invoice?

The provider claims through the provider portal. You generally do not pay the invoice yourself.

What should you check on an NDIS invoice?

If your support worker visited for two hours but the invoice says three, query it before the claim is processed.

Checklist:

  • Support delivered matches what you received
  • Provider is recognised
  • Description of the support is clear
  • Dates, hours or quantity are correct
  • Price matches your agreed rate and any pricing rules for how your funding is managed
  • Support fits your plan and available funding

Ask your provider or plan manager if something looks wrong. More context: understanding your NDIS plan.

Are there NDIS invoice and payment time limits?

What is the current claim deadline?

At 6 November 2026, section 45A(5)(a) of the NDIS Act generally allows two years to claim. The period starts on the day the support is provided.

The NDIA also does extra checks on claims lodged more than 90 days after a support is delivered. It may ask for more information or evidence. Those checks are not the same as the two-year statutory deadline. See the Guide to Getting Paid.

What changes from 1 December 2026?

The National Disability Insurance Scheme Amendment (Securing the NDIS for Future Generations) Act 2026 changes the general claim period to 90 days from 1 December 2026. Time still starts on the day the support is provided.

Who claims:

  • Self-managed: the participant, their plan nominee or child representative
  • Plan-managed: the plan manager
  • NDIA-managed: the provider

Late claims may be accepted only where exceptional circumstances justify the delay and the claim is made within a reasonable period.

Act promptly after support is delivered. Providers should invoice the correct destination quickly. Participants and plan managers should claim and follow up without delay.

What should NDIS providers do before sending an invoice?

  • Check participant details and support item
  • Confirm claim type and applicable price
  • For plan-managed invoices, check ABN details or exemption paperwork
  • Match dates, hours and description to the support delivered
  • Confirm GST treatment
  • Send promptly to the correct destination
  • Keep accurate supporting records

When self-managed, send invoices to the participant, their plan nominee or child representative; when plan-managed, send to the plan manager; when NDIA-managed, the provider claims directly.

How can a plan manager help with NDIS invoices?

A plan manager checks invoices, submits claims, pays providers and monitors available funding. They can also explain charges and help resolve payment questions.

At Kismet, managing NDIS funding should be straightforward and transparent. You should understand what is charged, where funding goes and how much remains.

If an invoice is unpaid, ask your plan manager for next steps, or read why your NDIS invoice might not have been paid.

Frequently asked questions

Does an NDIS invoice need to include my NDIS number?

Yes. Name and NDIS number are part of the NDIA's minimum identifying information.

Can an NDIS invoice include more than one support?

Yes, if every support relates to the same participant.

Do all NDIS providers need an ABN?

Plan-managed invoices must include a valid ABN unless the provider is exempt. An exempt provider must include a statement by supplier form.

No. GST-free treatment depends on the ATO conditions for that supply.

How long does a plan manager have to pay an invoice?

Within two business days of receiving payment from the NDIA, not two days from invoice receipt.

What happens if an NDIS invoice is incorrect?

Contact the provider for a correction. If you are plan managed, your plan manager can help.

Need help managing your NDIS funding?

Your plan manager should help you understand your invoices, track your spending and manage payments to your providers.
