How Quickly Does Kismet Pay Invoices?
Author: Matt Clements
Waiting for an NDIS invoice to be paid can be frustrating.
You might be wondering whether your provider has sent the invoice, whether your plan manager has received it, or when the payment will arrive.
At Kismet, we believe you should be able to see what's happening with your NDIS funding.
That's why we focus on prompt invoice payments, clear information and tools that help you track your funding.
How long does Kismet take to pay an invoice?
According to Kismet's published plan management information, NDIA-compliant invoices are generally paid within 2–3 business days.
This is our usual timeframe, not a guarantee that every invoice will be paid within that period.
Some invoices may take longer if information is missing, approval is needed or the NDIA needs to check a claim.
The time it takes to pay an invoice can depend on several steps, including when the invoice is received, when it is approved and when the NDIA releases payment.
How does NDIS invoice payment work?
If your NDIS funding is plan-managed, your plan manager handles payments to providers for eligible supports.
The process generally works like this:
- Invoice received: Your provider sends an invoice for supports they have delivered.
- Invoice checked: Your plan manager checks the details, available funding and NDIS rules.
- Invoice approved: The invoice is authorised according to your agreed approval settings.
- Claim submitted: Your plan manager submits an eligible payment claim to the NDIA.
- Provider paid: After the NDIA pays the claim, your plan manager pays the provider.
The NDIS guide to working as a plan manager explains that plan managers are responsible for processing invoices, paying providers and keeping records of how funding is spent.
Think of your plan manager as someone helping an invoice move through each stage of the payment process.
How quickly should an NDIS plan manager pay providers?
The NDIA sets expectations for how quickly plan managers should process invoices and payments.
According to the NDIS plan management guidance:
- Within five business days: Plan managers are expected to validate an invoice and submit a payment request to the NDIA after receiving it.
- Within two business days of receiving NDIA payment: Plan managers are expected to pay the provider or reimburse the participant.
These timeframes cover different stages. They do not guarantee that every invoice will be paid within a fixed number of days.
The NDIS Guide to Getting Paid also explains that valid claims from providers recorded as “my providers” are usually paid by the NDIA within 2–3 business days.
That is the NDIA's claim payment timeframe. It is different from the total time between a provider sending an invoice and receiving payment.
Why might an NDIS invoice take longer?
Sometimes an invoice needs extra checks before it can be paid.
Common reasons include:
- Missing information: The invoice may be missing a service date, support item number or other required detail.
- Funding issues: There may not be enough available funding in the relevant budget or funding period.
- Incorrect charges: A support item or price may need to be checked against NDIS rules.
- Participant approval: The invoice may be waiting for approval under your settings.
- NDIA checks: The NDIA may review a claim before releasing payment.
The NDIS Guide to Getting Paid explains what providers need to include when submitting invoices and how payment checks work.
If an invoice is delayed, it's worth checking its status before sending it again.
Can I track my invoices with Kismet?
Yes. Kismet provides online tools to help participants and providers check invoice information.
Through the Kismet participant dashboard, participants with access can review invoices, spending and available funding.
Providers can also use the Kismet Provider Dashboard to check invoice information, including processing status.
Depending on your access, you may be able to see:
- When an invoice was received.
- The invoice reference number.
- The current processing status.
- Information about payments and invoice history.
This gives you a clearer picture of what's happening without always needing to call or email for an update.
Do I need to approve every invoice?
Not always.
Kismet offers different ways to review invoices, depending on your approval settings.
According to Kismet's invoice approval guide, approval notifications can be sent through the app, email or SMS.
Kismet's published process also states that invoices are automatically approved after 48 hours to help avoid payment delays. Accounts set to automatic approval do not receive approval notifications.
If you need more time to review invoices, contact your plan manager to discuss your approval arrangements.
It's important to check that the supports were delivered and that the charges are correct.
What should I do if my NDIS invoice hasn't been paid?
If you're waiting for an invoice to be paid, start with these steps:
- Confirm your provider sent the invoice to the correct plan manager.
- Check whether the invoice appears in your dashboard.
- Look for any missing information or approval requests.
- Contact your plan manager and ask for the invoice's current status.
- Ask what needs to happen next and when you can expect an update.
If an invoice is delayed, your plan manager should help explain the issue and the next steps.
